Finchley Progressive Synagogue takes the privacy and security of your personal information very seriously.

This privacy policy sets out how Finchley Progressive Synagogue processes personal data (information by which an individual can be identified) collected by us in the course of our lawful activities, in accordance with the Data Protection Act 1998, the General Data Protection Regulation and any subsequent legislation (‘Data Protections laws’). This policy has been put in place to protect your rights under the Data Protection laws, and it is important that you understand what we will do with your data and are happy with this. About Us

We are Finchley Progressive Synagogue, a company limited by guarantee (Company No. 9365956) and a registered charity (Charity No. 1167285) whose registered office is at 54 Hutton Grove, Finchley, London N12 8DR.

Finchley Progressive Synagogue is the ‘data controller’ for the purposes of this policy, and the policy extends to its staff, trustees, volunteers and anyone else processing data on our behalf from time to time. Any personal data collected by Finchley Progressive Synagogue will only be processed in accordance with this privacy policy.

Organisations are permitted to process data if they have a legal basis for doing so. Finchley Progressive Synagogue processes data on the basis that:

  • Express and informed consent has been given by the person whose data is being processed; and/or
  • Finchley Progressive Synagogue has a legitimate interest in processing data; and/or
  • It is necessary in relation to a contract or agreement which the person has entered into or because the person has asked for something to be done so they can enter into a contract or agreement; and/or
  • There is a legal obligation on Finchley Progressive Synagogue to process data.

Where Finchley Progressive Synagogue is relying on solely consent as the basis for processing data, we are required to obtain your explicit consent and you can modify or withdraw this consent at any time by notifying us in writing, although this may affect the extent to which Finchley Progressive Synagogue is able to provide services to or interact with you in future.

Finchley Progressive Synagogue may change this policy from time to time and any such changes will be published on our website. Notwithstanding any change to this policy, we will continue to process your personal data in accordance with your rights and our obligations in law.

What Data Do We Collect?

We collect personal data necessary for Finchley Progressive Synagogue to communicate with members about our activities, provide support and services to our members and to ensure the effective running of Finchley Progressive Synagogue through its professional staff, trustees and volunteers. Data collected and processed may include, but is not limited to:

  • Names and contact information such as telephone numbers, email and postal addresses and, on occasion, other personal data such as photographs
  • Member and subscription records and preferences, including bank or payment details in order to process payments from you and information about your tax status for the collection of Gift Aid
  • Such other information that is relevant and necessary for Finchley Progressive Synagogue to carry out its activities, charitable purposes and legal obligations.

We collect these types of information from you directly, including when you get in touch with us in person, through the post or via our website.

We also gather technical information when you visit our website and we use “cookies” to help our website run effectively – please see section F of this policy for more details.

The Data Protection laws recognise that there are Special Categories of Personal Data which are more sensitive and require a higher degree of protection. Special Categories of Personal Data include information about a person’s health, race, ethnic origin, sexual orientation, political opinions or religious beliefs. If we hold any of these types of information about you, Finchley Progressive Synagogue will keep such details confidential and will only use them for the purposes of your membership, participation in our activities or work with us. We will not pass such details on to any other third party or use them in any other way without your express consent.

What We Do With the Data We Process

Finchley Progressive Synagogue uses the data collected to maintain accurate and up-to-date records of and to communicate with our members, volunteers, staff and contractors. These records facilitate our activities in accordance with our charitable objectives, including working with members and families, engaging them in our communal activities and raising awareness about our work through religious services and events. Data may be processed and viewed by the relevant staff, trustees and volunteers in the course of Finchley Progressive Synagogue’s activities (all of whom are subject to confidentiality obligations and work in accordance with this privacy policy).

We may also use your personal information to send you information about Finchley Progressive Synagogue and matters relating to Finchley Progressive Synagogue’s activities which we think may be of interest to you. We will only contact you in this way if you have consented for us to do so and will use your preferred method of communication as far as possible.

We may use your name and photograph in our publicity materials such as in our magazine articles, in our newsletters, on our website and on our Facebook and other social media pages. We will only use your name and photograph in this way if you have consented to us doing so.

We will only retain your personal data for as long as is reasonable and necessary for the purpose we collected it for and any period for which we are legally required to retain it.

We will share data with trusted third parties where necessary for us to communicate with you through email campaigns or printed publications, to run events or other activities or as stated above, and only once we are satisfied that any such use of data will accord with our privacy policy. Processing of your information in this way is always carried out under our instruction. We enter into contracts with our suppliers that require them to comply with the Data Protection laws and ensure that they have appropriate controls in place to keep your information secure.

We will also share your personal data with Liberal Judaism if you have consented to us doing so. Liberal Judaism is the umbrella organisation to which we are affiliated and which provides services to members of Finchley Progressive Synagogue.

We will not sell or share your personal information with any other charities, businesses or marketing companies without your explicit consent.

Your Rights in Relation to Your Personal Data

Access: You may request details of personal information which we hold about you. We reserve the right to seek verification of the identity of persons making such requests before we respond. A small fee may be payable if an information request is particularly onerous.

Correct: You can ask us to change or complete any inaccurate or incomplete personal information held about you.

Erasure: You can ask us to delete your personal information where it is no longer necessary for us to use it, you have withdrawn consent, or where we have no lawful basis for keeping it. Please note that we may not always be able to delete your data, for example, if we are required to retain Gift Aid records for Her Majesty’s Revenue and Customs.

Object: You can object to our processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for marketing purposes.

Restrict: You can ask us to restrict our use of your personal information in the following circumstances: a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) if you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Withdraw consent: If you have given us your consent to use personal information you can withdraw your consent at any time. If you do so, please note that this may inhibit or limit the way in which Finchley Progressive Synagogue is able to interact with you.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the data we process. Persons processing data on behalf of Finchley Progressive Synagogue do so under confidentiality obligations, in accordance with this policy and on the basis that Finchley Progressive Synagogue is satisfied that they can and will adhere to our high standards for data protection and security.

The transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.
